Where a $100 invoice goes
Sample invoice- Invoice 1042Saved in QuickBooks$100.00
- Card fee you set, 4%Added as a line on the invoice$4.00
- Your customer paid by cardOn your branded pay page$104.00
- Deposited to your bankRecorded in QuickBooks$100.00
The same invoice at a 3% rate with no card fee deposits $97.00. Card fees have to follow card-brand rules and the laws where you do business.
Keep invoicing the way you do now.
Merch Invoice runs alongside QuickBooks Online. You stay in QuickBooks; we take the payment and write the result back, so your books are finished when the money lands.
Connect QuickBooks Online once
Sign in to Merch Invoice and click Connect to QuickBooks. Pick the accounts your deposits and fees should land in.
Save the invoice in QuickBooks
Create invoices the way you always have and click Save. Merch Invoice picks each one up automatically.
Your customer gets a branded pay link
They pay by card or bank transfer on a page with your logo, and see any fee before they pay.
QuickBooks updates itself
The payment is applied to the invoice and the deposit is posted to match what reaches your bank.
Stays the same
- Your customers, items and taxes
- Invoice numbers and terms
- Your accountant's reports
Goes away
- Typing payments in by hand
- Matching deposits to invoices
- One flat rate on every card
Pay less to get paid.
Two levers, both yours to set:
- Rates quoted for your business. Card and bank-transfer pricing based on your volume and average invoice, not a one-size rate.
- A fee for each payment method. For example 4% on cards and $0 on bank transfers. It appears as its own line in QuickBooks.
Run your own numbers
Use a recent processing statement. Nothing you type here leaves your browser.
Customers who pay by bank transfer skip the card fee. Your Merch Invoice rates are quoted for your volume, so we'll show your exact figures side by side with your statement.

Your customers see your name and logo from the email to the receipt, with the payment options and fees you chose. You set it up once in Merch Invoice; QuickBooks stays as it is.

How Merch Invoice works with QuickBooks| When this happens | QuickBooks shows |
|---|---|
| A customer pays an invoice | A payment for the amount charged, applied to that invoice |
| You charge a card fee | A fee line on the invoice, so invoice, charge and payment agree |
| A batch of payments settles | One deposit that matches the amount your bank receives |
| You refund a payment | The refund, with the invoice reopened or credited |
| You edit or void the invoice | The pay link updates or closes, and reminders stop |
| You record a cash or check payment | The pay link closes so the customer can't pay twice |
Example with a 4% card fee: a $100.00 invoice gets a $4.00 fee line, the $104.00 payment is applied to it, and the deposit posts as $100.00, the same amount your bank shows.

Before you ask.
Do I have to change how I work in QuickBooks?
No. Keep creating invoices in QuickBooks Online and click Save. Merch Invoice emails your customer a link to pay, then records the payment back in QuickBooks for you.
How does Merch Invoice lower what I pay in fees?
Two ways. Your card and bank-transfer rates are quoted for your business instead of a one-size rate, and you can add a fee for each payment method so customers who pay by card cover the cost of card processing.
Am I allowed to charge customers a card fee?
Card-brand rules and some state laws limit card fees, and you're responsible for following them. We'll help you set up a fee that fits where you do business, and you can charge nothing at all.
Will my deposits match what's in QuickBooks?
Yes. Payments settle in batches, and Merch Invoice posts one QuickBooks deposit per batch for the amount your bank receives, so bank reconciliation is a single match.
Does it work with QuickBooks Desktop?
Not today. Merch Invoice works with QuickBooks Online for US businesses invoicing in US dollars.
How do I get started?
Request access and tell us how you take payments now. We reply within one business day with a fee comparison, then set up your account and send you an invite.
What happens if I disconnect QuickBooks?
Merch Invoice stops reading and writing your QuickBooks data right away. Your QuickBooks records stay as they are, and you can reconnect from your settings at any time.
